How to let your veterinary clinic book itself

Booking by phone costs as much as treating: somebody has to stop what they are doing, check the calendar and write it down. Online booking moves that work to the client, who can also do it at eleven at night, when the clinic is closed and they have just remembered the dog is due for a vaccine.

What to configure before you open it

A public booking link without properly defined availability creates more problems than it solves: overlapping appointments, staff booked on their day off, and clients arriving at a closed clinic. Three things need to be in place first.

  • Procedures with their real duration. If a consultation takes 30 minutes and is configured as 15, the schedule falls apart by mid-morning.
  • Authorised staff per procedure. Not everyone does everything, and the system should not offer a slot with someone who cannot perform that service.
  • Each person's working hours per weekday, including lunch breaks and inactivity such as holidays or leave.

What the client sees

Every branch gets a unique link you share over WhatsApp, put on your Google profile, or link from your website. The client does not create an account or remember a password: they pick the procedure, see the slots that are genuinely free, and leave their details.

That last point removes the most friction. Forcing people to register just to request an appointment makes a good share of them give up and phone instead, which saves you nothing.

How double booking is prevented

The classic shared-calendar problem is two people reserving the same slot. VeteApp validates staff availability in real time against the configured hours, so a slot that has been taken stops being offered.

This only works if hours and inactivity stay current. Make it a routine: when someone requests holiday, log it the day it is approved, not the week it starts.

Reminders: half the benefit

A booked appointment that nobody shows up to costs the same as an empty slot, except it also blocked time another client would have used. Reminders are the cheapest way to cut no-shows.

The Upcoming Events section shows what is coming and lets you send WhatsApp reminders using templates. You also mark appointments as completed or as no-shows, which is the data that later tells you which clients cancel repeatedly.
