How to cut no-shows with WhatsApp reminders
Updated
An appointment nobody turns up to costs as much as an idle hour, and it also blocked a slot another client would have used. Reminders are the cheapest intervention against that, and in most countries WhatsApp gets read far more than email.
When to send it
Timing matters more than wording. Too early and it is forgotten; too late and the client cannot rearrange their day and you cannot refill the slot.
What works in practice is two messages: one 24 to 48 hours ahead, while rescheduling is still realistic, and one on the morning of the appointment. If you only send one, send the 24-hour one: it leaves you room to fill the gap if they cancel.
What to write
A useful reminder can be read in full from the phone's preview, without opening the conversation. That means putting the essentials on the first line.
- The pet's name, not the owner's. That is what catches attention.
- Day, time and branch, in that order.
- What will be done, so the client knows whether to bring anything or fast beforehand.
- A clear way to cancel or reschedule. A client who warns you gives the slot back.
The recurring part: vaccines and deworming
Reminding about tomorrow's appointment is only half of it. The other half, and the one that recovers the most revenue, is flagging what is due months out: the vaccine booster, the quarterly deworming, the chronic-condition check.
In VeteApp procedures can be configured as repeatable with an automatic frequency, for example a vaccine every 21 days. The system then knows when it comes round again without anyone writing it in a notebook, and that client surfaces in Upcoming Events when the time arrives.
The limit: don't turn reminders into advertising
WhatsApp is a personal channel and the permission your client gave was to talk about their pet, not to receive promotions. Mixing the two gets you blocked, and once blocked you also lose the channel for the things that matter.
Keep clinical reminders free of offers. If you want to run promotions, use a different channel and ask for permission separately.
Frequently asked questions
- Where are reminders sent from?
- From the Upcoming Events section, which shows forthcoming appointments and lets you send WhatsApp reminders using custom templates.
- Can I schedule follow-ups that repeat automatically?
- Yes. Procedures can be set as repeatable with an automatic frequency, for example a vaccine every 21 days, and the system works out the next date.
- Can I record who did not show up?
- Yes. Appointments are marked as completed or as no-shows, which is the data that later identifies clients who repeatedly fail to attend.
